At this time we're looking to form the 2009 Fall Event committee. Like previous fall events, the fall event will include election related content at the beginning of the meeting as well. Our Spring event was very well attended (a little over 200 people at an out-state location!) so Fall comm should plan for a larger than usual crowd (the MnGCA is growing!). The charter may be modified slightly from time to time.
Fall Event 2009:

1. Event Committee Setup
* Will have a private forum to communicate in
* A Committee spokesperson will be appointed for board <-> committee communications
* May not include MnGCA Board Members who are up for re-election and MnGCA members up for election
2. Choose a Location
* Must be in the Twin Cities area
* Suggestions:
o Sufficient camping/lodging
o Covered Shelter
o Large enough to support at least 100 people
o Final approval must be run through the Board
3. Timeline
* Should take place during the months of September or October on a Saturday
* Spokesperson should communicate status updates to the board at the end of every month
* Date needs to be set, location chosen, and cache page created
o No less than 60 days in advance of the event date
o One Com member will be entrusted with MnGCA Account info for the purposes of event page creation
4. Cost
* The board has allocated an up-front sum of $300 for purchasing supplies necessary to host the event
o Shelter Rental
o Food
o Door Prizes
o Contest Prizes
* An event shirt may be created; pre-orders for the shirt should be done before the event. Contact the board about pricing options.
5. Temporary caches
* The park should be large enough for 10 to 15 temps
* They should be placed in advance of the event
* Coordinates should be made available on the event page
* The temporaries should be removed upon event completion
6. Food
* Food has been traditionally handled in a potluck fashion
o Attempt to coordinate food types if possible
o Please ask people to bring food to share on the event page
7. Door prizes
* Event Money
o The remainder of the event money may be used for the purchase of prize giveaways
* Donations
o Donations may be accepted and used as prizes
8. MnGCA General Meeting
* Time
o Allow additional time for the election process
o The Board of Directors will conduct the election during the meeting |

I'll help - keep in mind that I am way the heck up on the NW edge of things & need plenty of advance notice to get down that-a-way! I will be through the metro area on August 6th & August 9th (There is a recumbent rally in Stevens Point, WI)
